A Clear Path to the New Solution: How Business Central Migration Works

Microsoft Dynamics 365 Business Central offers a wide range of benefits, including browser-based access, the ability to add new features through apps, and streamlined processes. These advantages lead to faster performance and greater efficiency when using the platform.

Why should companies make the switch now? What are the advantages of transitioning early?

Erich: Making the switch early offers our customers a number of key benefits. First, they gain access to a modern, cutting-edge solution that Microsoft is committed to investing in for years to come – ensuring long-term protection of their investment. Another major advantage is direct access to AppSource, which provides a wide selection of apps that can be integrated to enhance the existing ERP system with additional features. For example, these apps can be thoroughly tested for compatibility with your own data in a trial environment called the Sandbox, available for up to 30 days.

Must-Have Apps for your daily Business

Erich: Among our customers, bossDMS and bossPayment are especially popular, particularly in the logistics sector. Both apps are widely used and, along with many other solutions, are available on Microsoft AppSource. Our apps are designed to simplify and optimize everyday business processes. With the new architecture, we also offer specialized applications built around Microsoft Core, such as AI-powered tools like bossDocs and collaboration solutions.

How often does Microsoft perform master updates?

Erich: Microsoft releases two major automated master updates each year, and we are informed well in advance. This allows ample time to test all applications for compatibility before the updates are rolled out to our customers. As part of our Lifecycle Service, we thoroughly test every update and then transparently inform our customers about all important changes.

The effort required for updates is minimal for our customers. Thanks to continuous development and our experience, updates today cause hardly any disruptions. The installed apps work reliably and integrate seamlessly.

With Business Central, companies receive a tool that integrates seamlessly with other Microsoft products like Excel, Outlook, or Sales Agent. Additionally, our customers benefit from cost savings, increased efficiency, and a fully integrated accounts payable process.

How much time does the transition require, and how is training provided for the new D365 Business Central cloud solution?

Erich: The transition typically takes between six and 24 months, depending on the size of the company and the complexity of its existing systems. These days, we usually complete the process in under 12 months – a significant improvement compared to the past.

For effective and sustainable knowledge transfer, we use the proven “Teach the Teacher” model. Key users receive in-depth training from us and then take on the role of introducing their colleagues to the new D365 Business Central solution. This approach ensures that expertise is embedded within the company and shared in a practical, hands-on way. In addition, we offer the Power Start course through our Academy – a foundational training program that provides an ideal introduction to the new solution.

What competencies are needed within the company?

Erich: Ideally, there should be a dedicated point of contact during the project phase who has a solid understanding of the processes within each department. For existing customers, we’re already familiar with many workflows, which makes the transition much smoother. Thanks to our extensive experience across numerous projects, we’re also able to offer new customers valuable recommendations for optimizing their workflows more efficiently.

What are the key stages of a typical project process?

Erich: The project usually begins with what we call a Scoping Workshop. Together with the customer, we identify the potential of the new cloud environment and make key decisions – such as how to handle data migration or whether to archive existing information. We also review any current customizations and, where possible, reintegrate them into the standard functionality of D365 Business Central.

A commonly chosen approach is a complete fresh start – known as the Greenfield approach. This allows companies to leave outdated structures behind, streamline their processes, and align their systems with the future-ready standards of D365 Business Central. If a 1:1 migration is preferred, historical data can still be accessed through a bossBI report based on Power BI.

How secure is my data in the cloud?

Erich: Data security in the cloud is extremely high today. Microsoft invests billions of Swiss francs each year to protect sensitive information and ensure high data availability – up to 99.9%. This ongoing commitment has significantly increased trust in cloud solutions in recent years, and many of our customers now actively choose to move to the cloud. An added benefit: the stored data remains in Switzerland.

What tips do you have for a successful project completion?

Erich: Careful planning and thorough testing are the foundation of a smooth integration. It’s also important for companies to allocate sufficient internal resources to support the project team and maintain a degree of flexibility. Just as crucial is building a strong, collaborative partnership with our customers – based on open and transparent communication at eye level.

What was your most challenging and your most rewarding project?

Erich: Every project comes with its challenges, regardless of size. The more complex the project, the more important effective communication becomes. After completing many successful migrations, I can say: things don’t always go perfectly – after all, it’s people working together. But with the right expertise on both sides, we’re able to overcome any challenge.

The collaboration with the InterCity Group, for example, was a complete success. We delivered the project within budget and to the full satisfaction of the customer. The projects with Kundert, U. Baumann, and Intertabak also show that close coordination and clear processes are the key to a successful migration.
